Payments & Indexation

When you invite a tenant, you can choose between Auto-collection and Pay-by-Link, depending on what fits your workflow and how much flexibility you to give your tenant.

Auto-collection uses a signed mandate to automatically deduct the rent from the tenant’s account.

Auto-collection doesn’t require additional action from the tenant once it’s set up, it’s consistent, and ideal when you want reliable on-time payments. For tenants, it works like a standard direct debit, the rent simply gets charged on the due date.

Pay-by-Link lets tenants pay through a secure link with their preferred local method (iDEAL, card, Sofort, Bancontact, etc.).

Pay-by-Link gives the tenant a bit more flexibility on the exact payment date and the account with which the payment is made. This is perfect for short stays, students, deposits, or tenants who prefer to pay manually.

If Auto-collection fails after several retries, Reesure automatically switches the charge to Pay-by-Link, so tenants are always able to pay.

Reesure’s auto-collection uses SEPA (or ACH) to withdraw rent automatically on the due date. Tenants sign a one-time mandate, and payments run on autopilot each month.

If a payment fails (for example, due to insufficient funds), Reesure automatically retries several times and keeps both you and the tenant informed of the payment status.

If all retries fail, the flow switches to Pay-by-Link, and the tenant receives a secure payment link to complete the payment manually. You will receive a notification of this.

Tenants get reminders before and after the due date, so no follow-up is needed from your side.

Pay-by-Link lets tenants pay rent through a secure online link using their preferred payment method (Sofort, iDeal, credit card, etc., depending on their country).

A few days before each due date, the tenant receives a payment request by email and Whatsapp. They open the link, review the breakdown, and pay securely. No login required.

If a payment is late, Reesure automatically sends reminders until it’s completed.

If the tenant prefers, they can also log in to their Reesure account to pay manually.

If you do not want to use auto-collection, Pay-by-Link offers a flexible alternative that still keeps your rent collection fully automated.

No. Reesure lets you decide how each tenant pays. You can set up automatic collection via SEPA/ACH or send pay‑by‑link requests. Auto‑collection automatically withdraws rent on the due date; pay‑by‑link sends a secure payment link by email or WhatsApp. All payments are processed through Stripe, and Reesure handles reminders and payment confirmation.

Yes. You can add security deposits and custom recurring fees (like service charges or parking). Reesure includes them automatically in the tenant’s first payment or monthly rent, depending on how you set it up.

Reesure calculates the maximum legally allowed annual rent increase based on the rules in your country and notifies you when it’s time for the annual indexation.

You can then adjust the increase per unit, building, or ownership group using either:

  • a percentage (e.g., +3.8%), or

  • a fixed amount (e.g., +€20),

Before anything is applied, you always approve the final increase.

This ensures you stay in full control, useful when negotiating with tenants, aligning with owner expectations, or applying different strategies across portfolios.

Reesure monitors when each lease is due for indexation, sends you a reminder, prepares the updated rent, and sends tenants a compliant advance notice once you confirm.

Communication & Reminders

Reesure sends reminders to ensure tenants know what’s due and when.

  • Before the due date: Tenants get advance reminders with the amount due and the applicable payment method (auto-collection or pay-by-link).

  • On the due date: A same-day reminder helps avoid accidental delays.

  • If the payment becomes late: Tenants receive follow-ups and, if enabled, late-fee notifications, all fully automated.

All reminders are tenant-friendly, clear, and designed to reduce back-and-forth communication for your team.

If a tenant misses a payment, Reesure automatically follows-up, and ensures you have full insight in the latest payment status.

  • With auto-collection (direct debit): Reesure retries the payment several times and notifies both you and the tenant. If all retries fail, the system automatically switches to a secure payment link with which the tenant can pay the due rent.

  • With pay-by-link: Tenants receive due-date reminders, automatic late reminders, and notifications about late fees.

    Throughout the process, you always see the real-time status, and we do the chasing for you.

You always stay in the loop; Reesure keeps you informed with:

  • Real-time payment status for every tenant and unit

  • Instant notifications if rent becomes overdue

  • Automatic updates when a tenant pays through a retry or payment link

  • Daily and monthly summaries (depending on your subscription) showing your portfolio’s payment health

You can organise units by:

  • … or any custom grouping that you want to apply on your portfolio.

The live payment overview can be filtered for each group, and includes:

  • Collected rent

  • Outstanding balances

  • Fees & charges

  • Upcoming lease expirations

  • Late payments with days overdue

This gives you real-time visibility into performance at group level, portfolio level, or your entire operation, without switching tools or merging spreadsheets.

Absolutely. Reesure includes built-in reporting tools and flexible exports to align reporting with your workflows.

You can:

  • Export all payment data, filtered by date range, property group, building, owner, or tenant

  • Download structured reports for rent, deposits, fees, arrears, and recurring charges

  • Export data for accounting, year-end reporting, or owner statements

  • Generate clean CSV or Excel files without extra formatting

You can export additional analyses such as:

  • Rent breakdowns (base rent, fees, deposits)

  • Collection trends over time

  • Arrears summaries per building or per owner

  • Vacancy, occupancy, and average rent analytics

Reesure’s reporting functionalities help both property managers and owners. Owners can be added as users to (a specific part of) your potfolio for real-time insights. Additionally, you can generate export-ready reports, or schedule automatic exports to keep owners updated.

You can set up separate structures for each owner, building, or region, with separate rent logic and payment methods. Any reporting and data can easily be split by owner or group; no more manual work splitting spreadsheets or creating separate bank accounts needed.

Yes. Reesure makes it easy to generate accurate, ready-to-use reports for tax filings, accounting audits, refinancing packages, or investor updates.

You can export structured rent data filtered by:

Yes. Current tenants can be onboarded at any time. When creating the tenant in Reesure, you select the desired collection start date. Based on that date, Reesure automatically calculates prorated rent and sets up the ongoing schedule, creating a seamless transition.

You also choose how rent should be collected:

  • Automatic collection: tenants sign a SEPA mandate once, and rent is collected automatically on each due date (with retries if needed).

  • Pay-by-Link: tenants receive a secure payment link every cycle and pay manually using their preferred local payment method.

After the start date, all reminders, calculations, and payment flows run automatically.

Account, Security & Compliance

Yes, tenants will receive an invitation by mail to setup their account and confirm the rent collection, which is typically done in 2 minutes. The login enables tenants to view rent history and payment status. Tenants do not need to install an app.

For each following payment, no login is required.

Reesure is built with enterprise-grade security from the ground up.

All payments are processed through Stripe, a global leader in financial security (PCI DSS Level 1 certified). Reesure never sees or stores full payment details, everything is tokenised and encrypted end-to-end.

Your data is protected with strict access controls, audit logging, and continuous monitoring. Reesure is fully GDPR-compliant for data privacy and PSD2-compliant for payment safety, and requires KYC verification before payouts to prevent fraud and ensure regulatory compliance.

Only the minimum necessary information is stored, it is never shared unnecessarily, and always handled according to the highest EU standards.

The platform applies region-specific regulations such as:

Payments

Your landlord or property manager chooses your rent payment method when they invite you. You’ll see which method applies, auto collection or pay-by-link, in your invitation email from Reesure.

If you’re set up for auto collection, we’ll notify you before any payment is withdrawn. If it’s pay-by-link, you’ll receive a secure payment link by email or WhatsApp each month.

Either way, we’ll explain everything clearly before your first payment is due.

Don’t worry, Reesure is built to help you stay on track without stress.

If you’re set up for auto collection, Reesure will automatically attempt to collect your rent on your landlord’s chosen due date. If the payment fails, for example when your account doesn’t have enough funds, we’ll send you a notification and automatically retry the payment at a later point in time. You can also log in to pay manually if needed.

If you’re using pay-by-link, your rent is not deducted automatically. You’ll receive a reminder before the due date with a secure payment link. If the rent isn’t paid on time, Reesure will send a follow-up reminder; you will still be able to pay using the same link. The link stays active even after the due date, unless your landlord disables it.

If your landlord has enabled late fees, we’ll clearly let you know when those apply and how much, so there are no surprises.

Reesure keeps everything transparent, with helpful reminders and backup options if the payment is not collected on the first try.

A late fee is an extra charge your landlord may apply if your rent isn’t paid by the due date. The fee amount and timing depend on your landlord’s settings and local rental regulations.

If you’re paying by link, and the rent becomes overdue, then the same link will automatically update to include the late fee, even if it was sent before the fee applied. Your next reminder will also reflect the updated amount. You can use either link to pay the full amount, including the late fee.

If you’re using auto collection, the total (rent + any late fee) will be included in the next withdrawal attempt, and you’ll receive a notification with the full amount before it’s charged.

Reesure doesn’t set or decide late fees, but we make sure you’re always informed in advance and able to pay the correct amount easily.

If you’re using auto collection (like SEPA or ACH), all banking costs are typically paid by the landlord; there’s no extra charge to you as the tenant.

If you’re using pay-by-link, and your landlord has enabled higher-cost payment methods, such as credit card or PayPal, they may choose to pass part of the fee on to you. If that’s the case, the extra fee will be clearly shown before you complete the payment, so there are no surprises.

Reesure never adds hidden fees. What you see is what you pay.

Communication & Reminders

You will always receive a reminder close to the due date; there’s no need to remember it yourself. Reesure sends these reminders by email or WhatsApp, depending on what your landlord or property manager has set up.

If you’re using pay-by-link, your secure payment link will be included in the message, so you can pay directly without logging in. If you’re on auto collection, we’ll let you know in advance before the payment is withdrawn from your account, so you’re never caught off guard.

All reminders are automated, clear, and sent with enough time to act, whether you’re paying manually or automatically. You stay informed, and rent stays predictable.

Account

Tenants can log in to their Reesure account to view their full rent history, download receipts, and make one-off payments when needed. Your account also keeps all communications and payment confirmations in one place.

The account is simply there to give you more control and visibility whenever you want it.

Yes. You can log in to your Reesure account to view your full rent history, including past payments, amounts, and confirmations.

Reesure never touches or stores your payment details. All rent payments are processed securely by Stripe, a licensed and PSD2-regulated payment institution used by companies like Amazon and Shopify. Sensitive data, such as IBANs and mandates, never pass through Reesure’s servers and are encrypted end-to-end.

We apply bank-level security, strict access controls, and full GDPR compliance. We only share information that is necessary for the rental relationship (for example, showing payment status to landlords). Tenants receive clear notifications and can review everything in their account at any time.

Your data stays private, protected, and only used for the purpose of managing rent safely.
